Getting Paid
Please ensure you have filled out your bank details for pay roll. If you haven’t please copy and paste this https://www.theferryhouseinn.co.uk/personal-details-form.html
We get paid on 20th of each month. However this doesn’t mean you are paid for hours worked from 26th – 26th of next month. There are pay periods shown on your When I work app go to timesheets to find out dates (its always Thursday before 15th of the month). Any hours worked after the cut off date is paid the following month.
Please check your timesheets are correct before cut off dates as mistakes are difficult to rectify after pay day.
When I work App
You should of received an email to join When I work which is our rota system. Please update your profile with your phone number etc. To do this on the app select more and then profile settings and then edit and save.
Please set yourself up on our wifi password is 06630881 this will mean the app can find your location and let you can clock in and out at work.
When you start work you need to clock in, you can use the app to do this follow instructions below.
You MUST clock in and out for breaks, breaks are unpaid and agreed with manager for appropriate time and duration.

If you have forgotten to clock in as you started working or forgot to clock back in after a break write a note in the box eg. Started at 1pm. This will then be altered before pay day.
If you have problems clocking in or out use bar laptop to clock in or out
If you are unable to use laptop email Lauren date and what hours you worked eg started at 9 – 12 back to work at 12:30 until 6:15pm
Availability
If you work a flexi rota, then feel free to edit your preferred hours in the ‘my availability’ section of the app. Click advanced configuration to edit a specific week/dates. However please note, if you are on a flexi rota, marking ‘not available’ does not mean you have booked time off, these are preferences only, not a way to book off set days/dates. Whilst we will try where possible to meet preferences, staffing is centred around the businesses busy periods first and foremost.
There are days in your contract you MUST work please check through your contract for these dates. Certain days of the year mean we need ALL staff because we are at full capacity for customers. Holiday requests and time off will not be accepted.
“Time off” requests
“Time off” requests in When I Work are for use if you do not have a set rota pattern.
I.e. if you work Monday to Friday, you cannot use a time off request to book an unpaid day off on a Friday – you need to book holiday. Same if you work every Sunday, you need one off you book holiday. Exceptions would be if you are swapping to pick up a different day instead, so still working your ‘full week’.
If the rota is already done, and you are rota’d on a day you would rather not work, then you need to try to ‘drop’ or swap your shift.
“Drop” a shift
On the app, click a shift and at the bottom select “Drop” – writing a message in the available space is helpful, for e.g. “Sarah has agreed already to take this shift for me” – or “Me & Charlie have agreed to swap Monday for Saturday”.
As you will see on the confirmation screen, if no one ‘picks up’ your shift then you are responsible for it and you will be expected at work for the shift.
Swapping a shift
If you would like to swap shifts with a colleague, and you are both in agreement, one of you please message VB [via WIW] to let her know, this will then be approved if appropriate.
People HR App
You will be sent an email inviting you to join people HR please download people HR app and log in.
People HR is to be used for the following:
Booking Holiday
If you need a specific date/s off, book it off as holiday through the People HR system.
Minimum 2 weeks’ notice is required, and it would be preferable that you request to book your days off before your rota is published however we appreciate not always possible.
Please wait for your holiday to be authorised prior to making arrangements. We do at times unfortunately have to refuse holiday requests for availability reasons.
When holiday is authorised I will amend the ‘payable days’ as necessary. i.e. if you are booking off Monday-Sunday, but you usually only work Saturday and Sunday, I will amend to pay out 2 days holiday. So to confirm, book when you are off from leaving to returning, not the days you want to be paid for.
Calling in Sick
If you are sick and cannot work you need to telephone the pub and tell your line manager. If your line manager is unavailable, you need to speak to Lauren or Victoria. If you need to call out of hours then call Victoria’s mobile. You must telephone until you get a response.
No texts/emails etc will be accepted.
Calling in Sick – early starters
If you starting work before 9am - to serve breakfast, or in a position that will affect others/customers i.e. unlocking the pub etc. you must:
- Text Victoria AND Alex, if you do not get a response you must call them to ensure that a suitable replacement can be arranged in plenty of time. i.e. give them at least one hours’ notice before you are due to start.
Unauthorised Absences
Not following the above sick procedure or not turning up to work when you are showing on the rota will be marked as an unauthorised absence. Repeated unauthorised absences will be treated seriously with a maximum of 3 meaning dismissal. It is assumed you will return to work on your next shift unless you repeat the above process or state a long period of absence with a sick note from your doctor.
